CONTRACT TERM: Full time, 6 month contract initially

PURPOSE OF THE ROLE

At Opportunity Peterborough we aim to create the optimum environment in which our city’s businesses can thrive. In this critical role you will be responsible for creating that environment internally, to support the Chief Executive to function as efficiently and effectively as possible, and to support the smooth operation of the office.

 

KEY RESPONSIBILITIES

To support the Chief Executive, enabling him to fulfil his role in an effective manner.

To ensure the effective and efficient day to day running of the office, working with the Finance Manager to provide support around HR and finance functions.

 

PA to Chief Executive

  • Maintaining the Chief Executive’s diary including organisation of internal and external meetings.
  • Managing the Chief Executive’s correspondence including confidential and sensitive material, ensuring prompt action is taken where required.
  • Manage and facilitate all necessary support for Board meetings, including ensuring agendas and associated papers are distributed, all papers are collated for the Chief Executive in good time, and attending Board meetings for minute taking and facilitation.

 

Office Administration

  • Day-to-day office administration ensuring the smooth running of the office including ordering of office supplies, providing an initial point of contact for incoming calls and correspondence and ensuring that all equipment is in sound working order, liaising with IT and the landlord as necessary.
  • Finance Administration – keying and maintaining the bought/sales ledger including debt collection and other adhoc duties.
  • Human Resources – assistance with day to day management of the HR function within the office.
  • Ensuring that the office space is well maintained, clean and tidy.
  • Preparing paperwork, rooms and refreshments for meetings.
  • Maintaining and overseeing the shared filing systems.

 

Person Specification

  • Ability to effectively manage office administration, including the implementation and maintenance of effective systems, processes, and procedures.
  • Ability to act with diplomacy and confidentiality when dealing with sensitive matters.
  • Attention to detail and a well-organised approach to record-keeping.
  • Good analytical and problem solving ability.
  • Ability to work under pressure, to tight deadlines, and balance conflicting priorities.
  • Proactive team player with excellent interpersonal skills.
  • Experience of dealing with HR and/or financial administration advantageous but not essential as full training will be provided.
